Versatile
Databases for Both Items and Borrowers
A borrower
database indexed on borrower number
(hereinafter referred to as borronum ), and
last name. Selected lists of borrowers, on
screen or printed, sorted by borronum
or last name. Fast screen entry of
borrower's city, state and zip code based on
predefined cities from the Information
Editor. Rotary card maker for easy access to
borrower information at check-out location
to augment or replace library card. Rotary
cards can be printed by borronum or last
name (dot-matrix only). Listing of items
checked out to borrower printed or on
screen. On printed report the title field
can be left blank. Cumulative items checked
out to borrowers for statistical purposes.
Printout of borronums or audio-visual item
numbers (hereinafter referred to as avnums)
used is available. Avnums and borronums can
be edited.
An item
database indexed on avnum, title/item,
publisher/manufacturer, call number and
subject which also can serve as an online
card catalog. Multiple item records which
contain identical information can be created
without retyping in a single keystroke, eg.
VCRs, carts, record players, etc.
"Capture" feature allows any item
already entered to be duplicated without
retyping. Selected lists of items, on screen
or printed, sorted by avnum, title/item,
publisher/manufacturer, call number or
subject. Improved searching, viewing
and editing features in item and borrower
databases. When searched by avnum,
title/item, or publisher/manufacturer, items
are labeled IN, OUT or MISSING. If item is
checked out borrower's name, due date, and
department/homeroom teacher are displayed.
Subject field data can be selected from 136
user-defined subjects or any other heading.
A list of subjects used can be printed.
Allows for global subject updates to change
subject names.
Fast and
Efficient Circulation Management
Item check
out with check out limits and fines warning,
reserve warning and preselected user-defined
due dates. Avnum and borronum can be
searched and automatically inserted from the
check out selection. Non-overdue items can
be renewed. Item check in with manual or
automatic fine calculation, weekends
excluded. The fines editor can be accessed
from this selection. Information editor sets
predefined cities, zip codes, fine rate,
reserve time and check out item limit. Daily
password protection in all editor areas can
be deactivated at this editor screen. Due
dates editor sets predefined due dates for
regular, overnight, same day, and special
borrowers with an onboard perpetual
calendar. Due dates editor can be bypassed
at startup for non-circulation functions.
Due dates are remembered for the day even if
exiting Auto Librarian™. Item reserve
which holds an item for a preselected time,
produces a letter and releases the item
after the hold time period. Up to 15
reserves can be tracked for each item.
Tracks and reports call numbers used in
circulation. 13 predefined categories and 7
user-defined categories.

Reports
REPORTS
AVAILABLE: Overdue items list, sorted by
borrower last name and due date indicating
which have had notices sent;1st and 2nd
overdue notices are sorted by borrower last
name; Final notice letter suitable for
mailing in a window envelope. Items checked
out list sorted by last name includes which
overdue notices have been sent; Fines List
of borrowers who owe fines and Fines Notice
sorted by borrower last name; Reserve List
indicating item in date and limit date;
Reserves Notice to borrower when item is
checked in. All reports are on
computer-generated forms - (NO SPECIAL FORMS
ARE NEEDED). Reports can be sent to disk
file and viewed using diskview menu option.
System information window lists the status
of all of the databases and bytes free on
the hard disk with the option to send
listing to the printer.

Selection Menu
Printer
selection menu allows easy laser, desk jet,
dot-matrix or disk file print selection.
Reports can be sent to disk file and viewed
for using diskview menu option. In addition
disk file can be copied for further
processing by other word processor or
desktop publishing programs.
Remote
Inventory
Inventory
system whereby an item's bar code is scanned
with a portable handheld bar code reader.
Data from the portable unit is then dumped
back into the computer with Auto
Librarian™. A printed list of missing
items is produced. Inventory discrepancies
can be reconciled individually. Items are
tagged with a MISSING label when searched
from the Item database. After inventory
process is completed a list of missing items
can be printed at any time.
Three
Levels of Onboard Help
A three-tier
help system which includes a memory resident
version of the manual whereby selections can
be searched with a find command. When Auto
Librarian™ Audio-Visual Version 3.0 is
running the memory resident help system is
ALWAYS available.
Password
Protection
Password for
protection in all editor areas. Passwords
are saved to disk and remain the same until
edited. Three tries before access is denied.
Password feature can be turned on and off.
Built in
Word Processor
A full
featured word processor to set up customized
letters to print to selected borrowers.
Dir/rename/erase MSDOS commands onboard to
supplement the word processor.
Bar Code
Label Generation
BAR LABEL 39,
developed by MC˛ SYSTEMS,
included with Auto
Librarian™ Audio-Visual Version 3.0,
prints a bar code label with a title up
to 20 characters and numbers up to 11 digits
with readable numbers for use with or
without a bar code reader. Bar code labels
can be printed for borrowers and
audio-visual items on dot-matrix or laser
printers. (Ink-jet printers are not
recommended for bar code labels.)
Hard
Disk Backup
BACK-IT 4,
included with Auto
Librarian™ Audio-Visual Version 3.0,
is a fully automated, one command back up
program which is fast, easy to use, reliable
and compatible with low and high DOS
versions.
Technical
Specifications
Auto
Librarian™ Audio-Visual Version 3.0 can
handle an unlimited number of records (2
billion). Therefore the only limitation on
collection size is the size of the hard disk
drive. In case of power failure database
files opened are always safe. Auto
Librarian™ Audio-Visual Version 3.0
is
capable of detecting peripheral hardware
errors (example: printer not on).
